This policy covers the corporate website accentsys.com. Where ACCENTSYS products (Merclino, Arbeitsmarktvollzug, xcess, SchoolApp, Castovia, STV Portal, Kicaly and YiENTi) are offered on their own websites or applications, the privacy notices of those products apply.

2. Data We Collect

When you visit or interact with our Website, we may collect the following data:

• Contact form submissions: Reason for contact, name, company or organization, email address, phone number (optional), country, message content, the website language and page section from which the form was sent, an optional file attachment (see below), and the date and time at which you gave your consent.
• Contact form attachments: If you attach a file, we accept only PDF, Word (DOCX), Excel (XLSX), PNG, JPG/JPEG or TXT files up to 5 MB. Files are checked on our server (file type, declared format and file content) before they are accepted; rejected files are not stored. Accepted files are stored privately in cloud storage (Amazon Web Services) under a random internal file name, are never published or made accessible through a public link, and are forwarded by email together with your inquiry to the internal ACCENTSYS mailbox responsible for your request. We keep the original file name, file type and file size as metadata of your inquiry.
• Pilot, early-access and design-partner applications (page /pilot): the product concerned, organization, contact name, email address, country, and — optionally — phone number, role, organization type, industry, organization size (e.g. number of employees, students, teachers, members or teams), sport, current tools, modules of interest, main problem or goal, desired start, willingness to give structured feedback, preferred contact method, a message, the website language, your consent and the date and time of the submission. No file attachments are accepted in this form.
• Investor, partnership and business inquiries are submitted through the same contact form described above (reason for contact “Investor”, “Partnership”, etc.); no separate investor form is operated on this Website.
• Technical data: IP address, browser type, operating system, referring URL, pages visited, and timestamps — collected automatically through server logs.

3. Purpose of Data Processing

We use your personal data for the following purposes:

• To respond to your inquiries and communicate with you.
• To evaluate contact requests (including investor, partnership and project inquiries) and pilot, early-access or design-partner applications, and to route them to the responsible ACCENTSYS mailbox.

Contact-form inquiries and their attachments are handled according to our internal retention policy: they are deleted, or the attachment is removed, once they are no longer needed to handle your request or for any resulting business relationship, unless statutory retention obligations apply. Submissions identified as spam or abuse are deleted. You can request earlier deletion at any time (see section 8).

Contact-form submissions and attachments are only accessible to authorized ACCENTSYS staff and are never disclosed through public parts of the Website or through our public product information interfaces.

We do not sell your personal data. We may share data with trusted service providers who assist us in operating the Website (e.g., hosting, database and file storage on Amazon Web Services, email delivery via Google’s email service), subject to appropriate data processing agreements.
